Senior Admin & Resource Coordinator  (InsideIR35)

Contract Term: 3 Months – Possibility to extend

Contracting Authority: UK Research and Innovation (UKRI)

Location: Remote – may be expected to attend office when necessary.

 

The Senior Admin & Resource Coordinator will work within the Commercial Team of the BS&I Programme and Ops Team. The role executes end-to-end resource management, budget management, and requisition and purchase order management across both business as usual and projects within IUK BS&I, while also providing support to the Commercial Manager and Supplier Manager for all procurement activities.

The first primary responsibility for this role is to manage the IUK BS&I resourcing process end-to-end, from deployment to off-boarding, and ensure that all contingent resources are deployed efficiently. To achieve this, you work closely with both Human Resources and Line Managers, coordinating the selection and deployment of resources, and managing any issues that arise during the onboarding / deployment process.

The second primary responsibility for this role is to manage budget tracking, requisitions and purchase orders, recharges and incomes across IUK BS&I. To achieve this you will work closely with IUK Finance, Heads of Product Teams, Agile Delivery Managers and Head of Programme & Ops to ensure budgets are tracked against actuals and forecast final with alignment to the ledgers.

The Senior Admin & Resource Coordinator will also support procurement activity across IUK BS&I working with the Commercial Manager, Supplier Manager, UKRI Commercial, UKSBS Procurement and IUK Finance.

As a Senior Admin & Resource Coordinator, your main responsibilities will be to: 

  • Proactively own and manage resource co-ordination, responding to a broad range of queries and flagging issues to the relevant parties where necessary.
  • Act as a confident and proactive first point of contact for resource queries for the team, coordinating with the Internal Recruitment team where required for support
  • Proactively co-ordinate recruitment and resourcing activity across IUK BS&I, supporting the Heads of Function and Agile Delivery Managers to ensure recruitment is planned effectively and acting as a liaison point with the central UKRI Resourcing Team and Innovate UK HR teams to ensure recruitment is planned effectively across the Directorate. This includes developing and maintaining a tracker for activities and supporting across IUK BS&I to prioritise and plan recruitment activities effectively.
  • Support with the continuous development of the resourcing process
  • Proactively manage budget tracking across IUK BS&I business as usual ensuring budgets are managed against actuals and forecast final with alignment between BS&I Budget Tracking and IUK Finance Tracking
  • Escalate and manage any budget risks with the Head of Programme & Ops, Agile Delivery Managers, and Heads of Function
  • Work with IUK Finance to ensure budget tracking aligns with the ledgers
  • Act as management point for the raising, approval management, and issuing of all requisitions and purchaser orders across BS&I
  • Act as management point for the coordination of cross charges and income for BS&I with IUK Finance
  • Develop an in-depth understanding of procurement processes and routes such that support can be provided to the Head of Commercial and Supplier Manager for all procurement activities
  • Create and maintain a tracking and roadmap of procurement activity to ensure procurement activity is planned and carried out in a timely and compliant manner, ensuring spend controls and budgets are in place.
  • Manage and build good working relationships with all internal and external stakeholders at all levels, setting stakeholder expectations and maximising cooperation
  • Organise meetings as required to include arranging venues,?sending invitations, preparing agendas and handouts,?refreshments and?other requirements as necessary in support of?the Operations team?

You’ll have relevant experience in:

  • Excellent excel skills
  • Extensive commercial experience
  • Procurement experience in the public sector
  • Senior Administration skills
  • Stakeholder management – internal & external
  • Experience with budgets
  • Identify appropriate routes for resourcing including managing; Permanent staff recruitment, Permanent staff off-boarding, Contractor recruitment, Contractor renewals, Contractor off-boarding, Agile IT Services call-offs, Agile IT Services off-boarding.
